Position Summary:

This individual will handle the administrative functions of the office. The position provides administrative support to the Real Estate and the office generally as required.  The position will learn Company processes, operating platforms and develop a skill set to support multiple areas of the office.

Primary Functions:

  • Provides administrative and clerical support as needed, including sorting and distributing mail, copying and coordinating invoices with purchase orders, preparing and updating basic documents, tracking deadlines
  • Coordinates regular maintenance, order supplies for and communicates repair needs related to office equipment including copier/printers, postage machine, etc.
  • Responsible for managing certain real estate contracts
  • Track licensing applications/renewals with the City and Commonwealth
  • Collecting, tracking and maintaining tenants’ certificates of insurance
  • Assists in maintaining office filing system, both paper and electronic
  • Greeting and directing both phone calls and visitors to the office
  • Performs other related duties as assigned

Required Skills/Abilities:

The individual must have the following knowledge, skills and abilities and be able to explain and demonstrate that they can perform the primary functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

  • Ability to type at least 60 words per minute.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite programs including but not exclusive to Outlook, Word, Excel, Publisher, and Teams
  • In addition to performing the primary functions, other supportive duties and responsibilities may be assigned.

Other:

  • Regular attendance, as determined by the Company, is essential to the successful performance of this position.
  • The hours for this position are approximately 20 hours per week during regular office hours 8am—5pm.
  • Compliance with the Company’s rules and regulations is a condition of employment for the safe and efficient operation of facilities.

 Education and Experience:

  •  High school diploma or equivalent required; Associates degree in office administration or related field preferred.
  • Both entry level and experienced applicants welcome.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
